How to Setup Payment Links

How to Setup and Use Payment Links in GuestPoint

This guide explains how to configure and utilize Payment Links within GuestPoint.

Payment links allow you to send secure payment requests directly to guests via email. Because the guest is required to initiate the transaction themselves, this method significantly enhances security. It often requires authentication via their mobile banking app (3D Secure), making it much harder for fraudulent transactions to occur and reducing the risk of chargebacks.

Prerequisite: To use this feature, you must have GuestPointPay enabled.


Part 1: Configuration & Setup

Before sending links, you must configure your global settings and email templates.

  1. Navigate to Management > GuestPointPay > Payment Links.

  2. Click on the Settings tab.





1. Web Details & Credit Cards

  • Web Details & Confirmation: These sections allow you to customize the look and feel of the payment page the guest will see.

  • Accepted Credit Cards: Ensure the cards selected here match your GuestPointPay setup. If this is already integrated with your booking engine, you generally do not need to adjust these settings.

2. Default Email Template

This is the most critical step. You must configure the email that delivers the link to the guest.

  1. Locate the Default Email Template section.

  2. Use the Insert Field dropdown menu to add the required dynamic tags:

    • «Payment_Link»: This converts to the unique secure URL.

    • «Payment_Due_Date»: This displays the specific date payment is required.

Example Email Template: You can copy and paste the following text into your template:

Subject: Payment Required for your Stay

Hi there,

We are looking forward to welcoming you. Please note that a payment for your reservation is due on «Payment_Due_Date».

To secure your booking, please click the link below to proceed with the payment: «Payment_Link»

Thank you, Management


Once configured, you can generate links from Reservations, Non-Resident Accounts, and Debtor Accounts.

A. For Reservations

There are two methods to generate a link for a reservation:

Method 1: Via Pre-Stay Invoice (Most Common) This is ideal for collecting deposits or payments prior to arrival.

  1. Open the Reservation.

  2. Select the option to send a Pre-Stay Invoice.

  3. Ensure the Payment Link option is selected before sending.






Method 2: Via Room Account (Post-Stay/Final Charge) This is ideal for balancing the account after the final charges are posted.

  1. Open the Room Account screen.

  2. Ensure the final balance is correct.

  3. Select the option to email the Payment Link.




B. For Non-Resident Accounts

  1. Open the Non-Res Account.

  2. Ensure there are valid charges on the account.

  3. Select the Email icon/function to send the Payment Link.


C. For Debtors

  1. Open the specific Debtor Account.

  2. Click on Current Transactions.

  3. Select the Payment Links tab.

  4. In the top right corner, click New Payment Link.

  5. Select the specific invoice you wish to generate the link for.

  6. Once added, click Send to email the debtor.












Part 3: The Guest Experience

Here is what happens once the link is sent:

  1. Notification: The guest receives an email containing your message and the Payment Link. They will also receive a PDF attachment containing a clickable link to the same page.

  2. Payment: The guest clicks the link, which opens a secure payment portal. They enter their card details and complete any required banking authentication (2FA/Mobile App approval).

  3. Confirmation: Once the transaction is successful, the payment is automatically recorded in GuestPoint, and the balance on the Reservation, Non-Res, or Debtor account is updated instantly.
