Owner Stay Setup & Management

When an owner books a stay at their property, you likely won't take any revenue however, you will still want to capture the normal management fees from the reservation. In order to do this the reservation must be marked as "Owner Stay Accommodation".

If this "Owner Stay Accommodation" is not setup in your transaction accounts, we will need to begin by adding this in. 
**If you have already setup the transaction account in GuestPoint & TrustPoint, please skip to step 5. 

Owner Stay Setup

Step 1: Setup the Transaction account
Go into Management -> Setup -> Transaction Accounts In both GuestPoint and TrustPoint.

Step 2: Setup the Transaction account in GuestPoint PMS.

In GuestPoint Transaction Accounts, click Revenue Accounts to expand the view. Scroll down to your last revenue account and underneath click New Revenue account.


Now add in Owner Stay Accommodation and click Save.


Step 3: Setup the Owner Stay Rate plans in GuestPoint PMS.

Go to Management -> Setup -> Standard Rates, Extras and Promotions.

Click + New Rates and Packages. Now fill out the necessary info as below: 
Description: Owner Stay 
Room Type: You will need to create a separate rate plan for each room type. 
Publish To: Not online
Web Description: Owner Stay 
Details: Owner Stay  
Room Rate: $0 (up to management)
Rack Rate: $0 (up to management)
Minimum Nights: 1 (up to management)
Guests Included: 6 (up to management)
Override Room Charge: Owner Stay Accommodation - THIS IS WHAT TELLS TRUSTPOINT IT IS AN OWNER STAY.

Press Save.

Step 4: Setup the Transaction account in TrustPoint Owner Accounting.
In TrustPoint Transaction Accounts (Step 1 - shows how to get here), click GP Sync to bring across and connect the transaction account to owner accounting. Here, just make sure that the funds are going to the owner,  you have applied GST if necessary and you leave the classification as other. 


SETUP PORTION IS COMPLETE


Owner Stay Management

When an owner comes to stay and you don't want to charge any accommodation however, you want to be able to deduct cleaning, linen & any other fees from the owner account for that reservation, we will now need to us the Owner Stay Rate Plans you have setup. 

When creating an owner stay reservation, please select the owner stay rate plan from the list: 

Once selected, it will populate the number of nights with a $0 nightly rate. 

Enter any other details you want to capture and save the reservation. 

When the reservation is checked in, The room account will post charges for Owner stay accommodation instead of the normal Room charge.

In TrustPoint Owner Accounting, you will see the reservation as normal however, it will have an owner stay symbol on it. 

Once the booking has been checked in/out and is balanced, you will be able to add your fees as normal using edit allocation. Any set value fees will automatically apply however, any percentage based fees will not and will need to be manually added.
