Posting Refunds on Room Accounts

Posting Refunds on Room Accounts

Payments posted in Room Accounts can also be posted as a Refund value instead of a purchase value.

By entering a negative - sign in front of the Amount field on the "Make Payment" screen, GuestPoint will post a refund payment instead to the Room Account.

Step by Step
Refunds to the guest's credit card should be processed first in the EFTPOS terminal.
The same instructions apply for Cash and Bank Transfers, ensure the refund is processed physically outside of GuestPoint first before you post it on GuestPoint.
Idea
Again, if you are trying to refund a GuestPoint Pay refund, these instructions do not apply to you.
  1. Navigate to your reservation's Room Account and proceed to Make Payment
  2. Select the Payment Type and enter the amount to be refunded with a negative value
  3. Update the Description field and note down "Refund" and ensure the refund payment method is noted
  4. Proceed to Save Payment.


The Refund payment will reflect in the Room Account as a positive figure as shown below for Transaction Line #2.
Alert
When a payment is recorded on a Room Account in GuestPoint, it will typically display as a negative figure. This is not to be confused with a Refund which displays as a positive figure (even if you enter a negative - sign during the Make Payment screen).




Posting Refunds for GuestPoint Pay

Above instructions with the "Save Payment" method only relate to Non-GuestPoint Pay transactions.

Payments for GuestPoint Pay transactions can instead be directly refunded by clicking on the red "Refund" button on the GuestPoint Pay transaction (as shown below).
This "Refund" button is visibily different to the usual "Reverse" button and is a good way to visually tell what is a GuestPoint Pay transaction and what isn't.
