4c. Deposit Ledger

LEDGER 2 - DEPOSIT LEDGER

InfoQuick Answer: The Deposit Ledger balance is based off pre-payments you put on Future Bookings yet to Check In. These kind of payments are considered Deposits on GuestPoint.

Understanding how the ledgers work is not required for general operations on GuestPoint.
These ledger articles are only relevant for those versed in Accounting or using Accounting Integrations.
The Deposit Ledger balance is populated by payments you put on Future Bookings. After you make this payment and process a roll-over, and if the booking status is still "Reserved", the payment will be considered a Deposit and allocate itself to Deposit Ledger.

It will populate initially as a negative payment value under Payments/(Banking) line in Deposit Ledger.
Once the booking is checked in, the Deposit will then transfer to the Room Ledger. It is looking to balance out the revenue you earn from the booking.

WHAT EACH LINE MEANS FOR THE DEPOSIT LEDGER

Opening Balance from Yesterday - The Deposit Ledger balance as at the last completed rollover.
Net Revenue - N/A for Deposit Ledger. This ledger only deals with payments transferring to the Room Ledger.
Payments/(Banking) - Any payments you do on Future Bookings and they still have a "Reserved" status, this is the amount acting as a Deposit payment.
Commission Paid - N/A for Deposit Ledger - belongs in Debtor Ledger
Write Offs - N/A for Deposit Ledger - belongs in Debtor Ledger
Transfer to Debtor Ledger - N/A for Deposit Ledger.
Transfer from Room Deposits - Deposits transferred from the Deposit Ledger to the Room Ledger from Checking In a booking with a Deposit Payment on it.
Transfer from Gift Card - This option is not applicable for those not on our Enterprise solution. It acts the same as a Deposit, it would be a negative value indicating a gift card payment being consumed to balance out the revenue you earn from a booking.
Closing Balance Carried Forward - This will be the Opening Deposit Ledger Balance of the next roll over.

EXAMPLES OF HOW THE DEPOSIT LEDGER AND HOW IT WORKS BY ITSELF AND WITH OTHER LEDGERS

1. DEPOSIT LEDGER BY ITSELF (Creating the deposit payment for a Future Booking)
If you have collected a deposit of $200 for a future booking staying 1 night for $200, and that booking still has a "Reserved" status when you do a roll over, that payment will allocate itself as -$200 in the Deposit Ledger.

2. DEPOSIT LEDGER & ROOM LEDGER INTERACTION (Consuming the deposit payment by Checking In the same Future Booking)

If you have collected a deposit of $200 for a future booking staying 1 night for $200, that payment will sit as -$200 in the Deposit Ledger.
As soon as you check this booking in, the -$200 will transfer out from the Deposit Ledger to the Room Ledger. This will balance out the +$200 revenue you earn from the booking in the Room Ledger.

3. DEBTOR LEDGER & DEPOSIT LEDGER INTERACTION (N/A)
There is no interaction between the Deposit Ledger & the Debtor Ledger.
